The clock-change weekend is when clocks and calendars can drift apart. A few minutes now will save you from missed meetings on Monday. In this practical guide we align Windows 11/10, macOS and Outlook: NTP, time zones, the ‘adjust for daylight saving time’ option and recurring appointments. If you use Windows or Outlook purchased from Licensgo, the steps below apply just the same.

1Step 1 — Windows 11/10: NTP and time zone

Windows 11: Settings > ‘Time & language’ > ‘Date & time’. Turn on ‘Set time automatically’ and ‘Set time zone automatically’ (handy on laptops). If you always work from the same location, select the correct time zone (UTC+01:00 Rome) and keep ‘Adjust for daylight saving time automatically’ enabled. Press ‘Sync now’ to force an NTP update.

Windows 10: Settings > ‘Time & Language’ > ‘Date & time’. Use the same options. For advanced NTP: Control Panel > ‘Date and Time’ > ‘Internet Time’ > ‘Change settings’ and set a reliable server. If you need an upgrade with an original licence, consider a Windows 11 Pro licence or, for older PCs, a Windows 10 Professional licence.

  • time zone: set ‘(UTC+01:00) Amsterdam, Berlin, Rome’;
  • daylight saving: keep ‘Adjust for daylight saving time automatically’ enabled;
  • NTP: press ‘Sync now’ before the weekend.
Quick command

To force a sync: open Command Prompt as administrator and run ‘w32tm /resync’. Verify with ‘w32tm /query /status’.

2Step 2 — macOS: automatic sync with time.apple.com

macOS Ventura/Sonoma and later: System Settings > ‘General’ > ‘Date & Time’. Turn on ‘Set date and time automatically’ (default server: time.apple.com). Check the time zone matches your location or enable ‘Set time zone automatically using your current location’.

Earlier macOS: System Preferences > ‘Date & Time’, unlock with administrator credentials, then enable automatic time and set the correct time zone.

Travel tip

If you use Windows on a Mac in parallel, check both systems. See the guide: Parallels Desktop: install Windows on Mac step by step.

3Step 3 — Outlook: time zones and recurrences

Classic Outlook on Windows (Microsoft Office 2024): File > ‘Options’ > ‘Calendar’ > ‘Time Zones’. Set the primary time zone to ‘(UTC+01:00) Amsterdam, Berlin, Rome’. Enable ‘Show a second time zone’ if you work with other countries. On the calendar ribbon use ‘Time Zones’ to anchor events to a specific zone.

New Outlook/Outlook on the web: Settings (cog) > ‘General’ > ‘Language and time’ > ‘Time zone’. On Mac, Outlook inherits time from macOS: fix macOS first.

For recurring meetings that span the clock change: open the series, correct the time, enable ‘Time Zones’, then send the update. In shared calendars, ask owners to fix the series to avoid discrepancies in Teams/Zoom. If Outlook isn’t activated yet, follow: How to activate Microsoft Office 2024 Professional Plus in 5 minutes.

If you use Outlook included in Microsoft Office 2024 Professional Plus, these settings apply the same way.

Recurring series

Edit the series, not a single occurrence. Otherwise the pattern ‘slips’ at the daylight saving/standard time switch.

4Friday quick checklist

Two minutes to avoid Monday chaos. Check these points:

  • Windows/macOS show the correct time and ‘(UTC+01:00)’ time zone;
  • ‘Adjust for daylight saving time automatically’ is enabled;
  • Press ‘Sync now’ (Windows) or toggle ‘Set date and time automatically’ off/on (macOS);
  • Create a test meeting in Outlook for next week and verify the time;
  • For recurrences that span the weekend, open the series and save again;
  • If you’re upgrading, consider a Windows 11 Pro licence for up-to-date time services.

5Notes for businesses and IT

Active Directory: the PDC Emulator must synchronise with a reliable external NTP source (e.g. company source or public pools). Domain clients sync by default. Check with ‘w32tm /monitor’ and the event logs. Use Group Policy: Computer Configuration > Administrative Templates > System > ‘Windows Time Service’ > ‘Time Providers’.

MDM/macOS: apply automatic time and time zone via MDM profiles. In hybrid Mac+Windows environments (Boot Camp/VM), check both systems. Useful reference: Parallels Desktop: install Windows on Mac step by step.

Calendars: ask invite owners to review series that span the clock change. Share a brief checklist with the team on Friday.

NTP best practice

One authoritative source per domain. Avoid mixing manual NTP on clients with domain sync.

6If something’s off

Windows: set the correct time zone, toggle daylight saving off/on, run ‘w32tm /resync’ and restart. macOS: toggle automatic time and time zone off/on, then restart. Outlook: check the system and Outlook time zones, then save the series again.
