Data controller
The controller of the personal data collected through licensgo.co.uk is Licensgo LLC, a limited liability company formed in the State of Delaware, United States, 651 North Broad Street, Suite 205, Middletown, Delaware 19709, United States. You can contact us at info@licensgo.co.uk. Because we offer our products to people in the United Kingdom, we process your personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 (PECR), as amended by the Data (Use and Access) Act 2025. This policy explains what data we collect, why we use it, how long we keep it and what your rights are.

Data we collect
Most of the personal data we hold is given to us by you, when you place an order, sign up for our emails or contact us; some is collected automatically when you use our website. The details marked as required at checkout are needed to process your order: without them we cannot supply the product. We collect the following categories of personal data:
- Identity data: first name and surname and, if you buy for a business, your company name and (optionally) VAT number.
- Contact data: email address, billing address and telephone number (optional) and, for subscriptions assigned to your account with a manufacturer, the email address of that account.
- Transaction data: orders, products bought or left in your basket, amounts paid, payment method and payment references (we do not store your card details), and the confirmations you give at checkout, such as your request for immediate delivery.
- Technical data: IP address, browser and device type, pages visited, how you arrived on our website and, if you allow it, cookie identifiers (see our Cookie policy).
- Communication data: messages you send us by email or through our contact form, our replies and your marketing preferences.

How we use your data
We use your personal data for the following purposes (the lawful basis for each is explained in section 4):
- To process your order, take payment and deliver your licence key, download link or subscription, including assigning subscriptions to your account with the manufacturer (for example Autodesk) and dealing with activation where needed.
- To send you order confirmations, invoices or receipts, delivery emails and other messages about your order.
- To provide customer and technical support, including help with installation and activation, and to handle cancellations, refunds and complaints.
- To comply with our legal obligations, including tax, VAT and accounting rules (for example keeping evidence of the country where you live), and to prevent fraud and keep our website and payments secure.
- To send you news and offers by email: if you are a customer, about products similar to those you bought, including reminders before a subscription expires, unless you opt out; otherwise only with your consent. We may tailor these emails to the products you have bought or looked at. If you enter your email address at checkout but do not complete your order, we may send you a reminder about the products in your basket, unless you opt out. You can unsubscribe from any of these emails at any time.
- To understand how our website is used and improve it, through statistics produced with Matomo without cookies (you can object at any time) and, only if you accept it, Google Analytics. We do not currently use advertising or remarketing tools on licensgo.co.uk.

Lawful bases for processing
We rely on the following lawful bases under the UK GDPR:
- Contract – to take and fulfil your order, deliver the product, provide support and handle cancellations, refunds and claims under our Terms, and to take the steps you ask for before buying.
- Legal obligation – to comply with tax, VAT and accounting law and with lawful requests from public authorities.
- Legitimate interests – to prevent fraud and keep our website and payments secure, to produce website statistics, to send our customers emails about similar products and basket reminders, to improve our products and service, and to establish or defend legal claims. We have balanced these interests against your rights, and you can object at any time (see section 7).
- Consent – for marketing emails if you are not yet a customer (for example when you sign up for our newsletter or for a welcome discount), and for Google Analytics and other optional cookies (see our Cookie policy). You can withdraw your consent at any time.

How long we keep your data
We keep your personal data only for as long as we need it for the purposes described above:
- Orders, invoices and payment records: 6 years, to meet tax, VAT and accounting requirements.
- Support messages and complaints: 2 years after the case is closed.
- Marketing emails and basket reminders: until you unsubscribe or object. We then keep your email address on a suppression list, so that we do not contact you again.
- Technical and security logs: up to 12 months. Cookie durations are listed in our Cookie policy.

Sharing and international transfers
We do not sell your personal data. We share it only when necessary, with the following categories of recipients:
- Our payment provider, Nexi Payments S.p.A. – to process card, Apple Pay and Google Pay payments securely, including strong customer authentication and fraud checks.
- IT service providers acting on our behalf – website and server hosting and performance monitoring, email delivery (order confirmations, licence keys and other messages), address lookup at checkout, internal tools that notify our staff about orders, customer service tools (some of which use artificial intelligence to help us draft replies) and, if you accept it, Google Analytics.
- Software manufacturers (for example Autodesk or Microsoft) – when we assign a subscription to your account or when activation requires it, we share the details needed, such as your name and email address; the manufacturer then uses them under its own privacy policy.
- Professional advisers (such as accountants and lawyers), tax authorities such as HM Revenue & Customs, and the police, courts or other public authorities – when this is necessary to comply with the law or to establish or defend legal claims.
Service providers acting on our behalf may use your data only on our instructions and under a written contract. Licensgo LLC is a company formed in the United States, and some of our service providers process data outside the UK. When we share data with providers in the European Economic Area, we rely on the UK's adequacy regulations. When we share it with providers in the United States or in other countries not covered by adequacy regulations, we rely on the UK Extension to the EU-US Data Privacy Framework, where the recipient is certified, or on the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for a copy of these safeguards.

Your rights
Under the UK GDPR you have the following rights over your personal data, some of which apply only in certain circumstances. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects; if our payment provider automatically declines a payment, contact us and we will look into it. Your rights are:
- Right of access: to ask for a copy of your personal data and for information about how we use it.
- Right to rectification: to have inaccurate data corrected and incomplete data completed.
- Right to erasure: to ask us to delete your data, except where we must keep it, for example tax and accounting records.
- Right to restrict processing: to ask us to limit how we use your data, for example while we check whether it is accurate.
- Right to data portability: to receive the data you gave us in a structured, commonly used and machine-readable format, or to have it sent to another organisation where this is technically possible.
- Right to object: to object to processing based on our legitimate interests, including statistics; if you object to direct marketing, we will stop sending it.
- Right to withdraw consent: where we rely on your consent, to withdraw it at any time, as easily as you gave it; this does not affect processing carried out before you withdrew it.
To exercise any of these rights, email us at info@licensgo.co.uk. We will reply within one month; if your request is complex, we may extend this by up to two further months and will tell you why. If you are unhappy with how we have used your data, please tell us first, by email or through our contact form: we will acknowledge your complaint within 30 days, look into it and tell you the outcome. You also have the right to complain to the Information Commission (formerly the Information Commissioner's Office, ICO), the UK data protection regulator, at ico.org.uk.

Cookies
We use cookies and similar technologies as described in our Cookie policy. In summary:
- Necessary cookies: needed for the website, your basket, checkout and payment security to work. Always on.
- Statistics and analytics: Matomo statistics run without cookies and stay on unless you switch off ‘Statistics’; Google Analytics and order source attribution run only if you accept ‘Analytics’.
- Marketing cookies: used only with your consent. We do not currently use any advertising tools on licensgo.co.uk.
You can change your choices at any time through ‘Cookie settings’ at the bottom of every page, or in your browser settings.

Data security
We use appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration or destruction. These include encryption in transit (SSL/TLS), secure servers, access controls and regular security reviews.
If a personal data breach is likely to result in a risk to your rights and freedoms, we will report it to the Information Commission without undue delay and, where possible, within 72 hours of becoming aware of it. If the breach is likely to result in a high risk to you, we will also tell you without undue delay.
